Purpose:

The role of an Assistant Registrar is to administer records, maintain student progression and perform other daily Registrar operations while maintaining adherence to established policies and procedures regarding Student Records at the Los Angeles Film School.  The position's primary responsibilities include essential scheduling and registration as well as responding to student and third-party inquiries for records maintained by the department.

 

Essential Duties & Responsibilities (those that must be performed with or without an ADA Accommodation):

  • Perform essential student scheduling and registration functions daily and as directed.
  • Maintain student database (CampusNexus/Anthology) with accuracy and in compliance with State, Federal, and college policies and procedures.
  • Respond to telephone, mail, and email inquiries from students, staff/faculty, and third parties in a respectful and timely manner.
  • Assist with data collection and audits by generating reports pertaining to registration, grades, student statuses, graduation requirements, etc.
  • Provide support to Registrar Coordinators in processing credits, both external and internal.
  • Carry out month to month course setup by creating sections, assigning instructors, updating student rosters, and entering class schedules.
  • Process student status changes, course withdrawals, course substitutions, and final grade updates.
  • Assist with updates to contact information of students.
  • Process enrollment verifications, transcript requests and diploma requests
  • When new hires join the team, assist with training as directed by the Senior Registrar.

  • Knowledge of the Family Educational Rights and Privacy Act (FERPA), academic standards and protocol

 

Education | Experience:

  • Associate degree or higher
  • At least two years of school-related administrative work experience, preferably in a higher education setting.

 

Certificates | Licenses | Registrations:

  • N/A

 

Computer Skills:

  • Strong proficiency with PC and Mac (MS Word, Outlook, Excel, PowerPoint, Keynote).
  • Experience with student information systems (CampusNexus/Anthology preferred)
    • Ability to learn new programs as required, etc.

 

 Environmental Factors (are those that are required and performed with or without an accommodation):

  • Computer use for up to 8 hours per day

 

Physical Demands (are those that are required and performed with or without an accommodation):

  • Must be able to lift up to 25lbs, etc.
